Fordham Law Media Services

Fordham Law Media Services team is responsible for the planning, upkeep, and support for all audio-visual spaces in the Law School, including classrooms, conference rooms, and event spaces. The Media Services Team coordinates with the Office of Public Programs and CLE to support customers hosting virtual events and utilizing event spaces throughout the building on a first-come, first-served basis. 

    • An event sponsor can be either a Fordham Law or University member/affiliate, or a non-Fordham Law/University member or affiliate.
    • Fordham Law and members of the Fordham University community, including faculty, staff, students, and other affiliates, are eligible for audiovisual support during the team’s operating hours. So long as needs can be met during this time with budgeted staffing, there will be no additional cost. If staffing must be added, the event will need to cover the cost.
      • All requests including support during off-hours, on holidays, and weekends are subject to approval by the Law Media Services Manager or the Executive Director, Law Information Technology.
      • Faculty, staff, students, and affiliates of the larger Fordham University community are eligible for audiovisual support outside the team’s operating hours, provided the event sponsor/requestor agrees to cover all staffing costs associated with supporting the event, including providing dedicated support.
      • A written authorization from a budget administrator may be required.
      • All co-sponsored events must have an associated Fordham Law or University event sponsor, who will be present during the event and walk-throughs. The sponsor must accept full responsibility for the event, including costs and applicable fees for damages/lost/misplaced equipment. 
    • Non-Fordham Law and University affiliates may request event support through the Law School’s Conference Services group for a fee. 
    • The Media Services Team supports audiovisual spaces on floors LL through 9, in the Law School building at 150 West 62nd Street, New York, NY 10023.
    • Support is available Monday through Thursday from 8:30 am to 10:00 pm and Friday from 8:30 am to 5:00 pm, except on Fordham University holidays and when the building is closed.
      • Off-hours and weekend support may be available on a first-come, first-served basis for a fee and must be approved by the Law Media Services Manager or the Executive Director, Law Information Technology.
    • Customers needing event support should request assistance as soon as possible, at least two weeks in advance, even if the requested space is not confirmed, and may do so via email: [email protected]. All requests are handled on a first-come, first-served basis and responded to within two business days.
      • An approved room reservation does not mean the team will provide audiovisual assistance. A separate request must be filed with the Law Media Services team via email: [email protected], or phone: +1 212-636-7324 to receive audiovisual support.
    • Audiovisual equipment requests must be made at least two weeks in advance and are based on availability. Requests are not guaranteed if received after the two-week (ten business days) minimum.
    • The Media Services Team recommends visiting the Conference Services website to select the correct packages/items, as the technology varies by room and availability
    • The Media Services Team will schedule meetings to review the event details, plan dry runs, and conduct any necessary testing to execute and support the event. 
      • Please make yourself or a designee available for the coordination, dry runs, and testing. 
      • Before the event, please share all presentations, including PowerPoints, PDFs, videos, etc., to ensure they render correctly on the room's display.
    • While the team can assist with displaying presentations and any associated media, the Law Media Services Team is not responsible for the content, editing, or adjusting of any content presented. 
    • Please gather written consent from all speakers and panelists before requesting recording services. The team is not responsible for seeking or collecting consent.

Package Costs

Classrooms are equipped with built-in audiovisual technology. Minimal setup/breakdown is needed.

The minimum support is four hours for remote assistance and monitoring per required technician. There is a separate charge for having a dedicated technician in the room for support. Keep in mind that some events may require multiple personnel.

Additional Services

All audiovisual equipment rental and support is limited to the Fordham Law School building: 150 West 62nd Street, New York, NY 10023. Spaces with built-in technology, such as classrooms, do not require portable equipment. 

Dedicated Support Technician

Depending on the complexity of the event, more than one audiovisual technician may be needed. The Media Services Team will advise when this is necessary. Non-Fordham Law entities that request a dedicated support technician outside operating hours must cover the incurred staffing costs.

All files are sent via a downloadable drive link that will be available to download for up to three months.

Fees

Any additional fees are assessed on a case-by-case basis depending on the request, circumstances, and availability of audiovisual equipment services. 

Late Requests

Media Services audiovisual assistance must be requested at least two weeks before the day of the event; a month before is preferred.

  • Requests made less than two weeks before the event are not guaranteed, but if approved and provided, the sponsor should expect to pay an additional 25% surcharge of the total costs.
  • Requests made on the day of or the day before the event are not guaranteed, but if approved and provided, the sponsor should expect to pay an additional 50% surcharge of the total costs.
  • The Fordham Law Media Services Team reserves the right to deny last-minute audiovisual requests, add-ons, or changes.

Off-hours

Audiovisual support requests outside working hours may result in a charge per hour per technician for setups or breakdowns. If the request causes the team to pay overtime, the customer will be assessed an additional fee to support the event.

Damage, Lost, Missing Items or Equipment

Additional fees will be assessed for replacing or repairing damaged, lost, or misplaced equipment.
