How to Submit an Event

The University Events Calendar welcomes submissions from faculty and staff for public-facing, student-facing, alumni-facing, and/or employee-facing events.

Please take a moment to read the following instructions on how to submit your events—or watch this short video. Events are reviewed, edited and added to the calendar by calendar administrators. Allow 5 business days for event postings.

You can also email [email protected] with specific questions.

Before Submitting Your Event

  • Reserve the event location. If you require a room for your event, reserve it through 25live before posting it to the calendar.

Submit an Event

Go to calendar.fordham.edu, and choose “Log in with Fodham SSO.”

To add an event, click “Submit an Event,” or use the Event Submission Form and follow these steps:

Required Fields

Event Name (Main Info)

  • Use a brief, clear title that conveys what event is about.
  • Add quotes around film names, book titles, lectures, and exhibitions.

    For instance:
Fall 2026 McGinley Chair Lecture: “Morality and U.S. Foreign Policy”
Exhibit Opening: “Oy, Joy! Can We Talk About (Jewish) Joy?”
Book Talk: “Strangers in the Land” by Michael Luo
    Fordham Mainstage Production: “The Tempest”
    Conversations with Humanitarians: Lily Esposito

Description

  • Add a brief description.
  • Italicize the names of books, films, and movies. (The event title doesn’t allow formatting beyond a quote.)
  • Hyperlink relevant information.
  • Add a contact name and email in the description if desired.

Dates (Schedule)

  • Add the date, start and end times.
  • If the event repeats, click the button to indicate the days it repeats and enter the recurring times.
  • For recurring, same-day events enter the first instance, then click the button “Include Above in Schedule.” Consult this help page for further details.

Location

  • Remember to reserve your room in 25 Live before posting your event!
  • Choose in-person, hybrid, or virtual.
  • Enter the campus location name and wait for the correct name to surface. For instance, if the event is in Keating First Auditorium, type Keating and select the correct place name from the pre-populated names. If the event is off-campus, enter in the address.

Additional Fields

Go beyond the minimum required fields to amplify your event listing. Read on for explanations of each field.

Status
This field defaults to Live.

  • If the event is postponed, canceled or sold out, you can note this once the event is live to inform the community that the event status has changed.

Experience
This field defaults to in-person. If it is virtual or a hybrid, select from the drop-down.

Additional details
Add any relevant hashtag here. We will use your hashtags to create permanent tags that will make it easy to find your events.

Event Website
Note the difference between Event Website and Ticketing Site (below). No matter which one you choose, users will be able to click “I’m interested” and receive an email reminder about the event a day in advance.

  • Use the event website field to add a registration form or to direct readers to an informational site to learn more.
  • Optional: Choose a word that will be linked to the URL—like RSVP or Learn More—or leave blank to display only the URL

Photo
We highly recommend uploading a photo or selecting a photo from our gallery in the submission form. If you do not, a default photo will be applied to your event.

  • Use your own photo or select one from the photo gallery which is populated with various Fordham images.
  • Do not upload flyers or posters, which are not ADA-compliant.
  • Choose landscape/horizontal photos versus portrait/vertical photos.
  • Aim for a minimum width of 500 pixels.

Photo Description
This field is required if you enter a photo and ensures ADA-compliance. Briefly describe what is happening in the photo.

Filters
These fields clearly communicate who the event is for and make it discoverable in an event search. Please add all of them.

  • Event Type: Select the kind of event you are organizing (Lecture, Exhibition, Campus Advisory, etc.)
  • Category: Choose the theme of the event (Arts and Culture, Community Engagement, Health and Wellness, etc.)
  • Audience: Select all that apply (students, faculty, alumni, staff, etc.)
  • Athletics: If applicable, choose the relevant sport
  • Schools and Departments: Choose the relevant team, center, or department that is presenting the event. Begin to type in the name—it should appear.
  • Group and Organization: If a club or an alumni chapter is the host, select the relevant group or enter it manually.

Ticketing
If you add a ticketing site or a Google registration form in this section, it will add a “Register” or “Buy Tickets” button to an event thumbnail and allow people to go directly to your event page.

  • Leave ticket cost blank for the “Register” button to appear
  • Add a price (if applicable) and the “Buy Tickets” button to appear

Submit Pending Event
Click this button once complete! Your listing will then go to the editing queue for publication within 5 business days. Events are reviewed, edited and added to the calendar at the discretion of the calendar editor and calendar administrators.

Private or Unlisted Events
If you want to use the calendar to share an event with a private audience, but do not want to list it publicly, email [email protected] to request a hidden view.

Cancellations, Changes, and Edits

Once your event has been submitted, you are able to make edits or add additional information as  needed. You are also able to cancel your events as necessary. Please note that cancelling an event will not delete an event from the calendar. It will add a “Cancelled” notification on the listing.

To change or cancel an event, log into the calendar at calendar.fordham.edu and access your Calendar Dashboard by clicking on the icon next to submit an event and selecting “Dashboard.”

Scroll to Pending Events or Events I’m Organizing and click the event you would like to change.

On a live event, you can also scroll to the end of the event listing and click “Edit Event.”
